How to delete signature in Outlook?

A signature is an identity text that appears at the bottom of your email message automatically when you start to write a new email message or reply/forward any email to a recipient. Once you set up and configure your signature you do not need to take any action for a lifetime but if your information is changed like office address, contact number, or designation you may need to edit, change, or delete your existing signature in Outlook.
As I told you, a signature may not appear while replying or forwarding any email message. You have to set your signature not only for new emails but also for replies/forwarding. This issue will be completely resolved. In this article, I will guide you on how to delete or modify your signature.
How to delete a signature in Outlook?
To delete your existing email signature in Outlook, please follow the instruction below.
- Go to the File menu of Outlook and select Outlook.
- Select Mail from the left side, and Click Signature on the right side.
- A new window will appear. Select the signature you want to delete.
- Click delete to delete the signature. Click OK to complete the task.
How to change Outlook signature
To change or editing an outlook signature is also as easy as deleted. You also need to go to the same place.
- Go to the File menu of Outlook and select Outlook.
- Select Mail from the left side, and Click Signature on the right side.
- A new window will appear. Select the signature you want to edit or modify.
- Go to the editing part of the window and edit as you needed.
- Click OK to complete the task.
When you need to Change your Signature in Outlook
You may need to change your signature in Outlook when information in your existing signature has been changed. You may need to change your signature when
- You are promoted to another position or your designation is changed.
- Your project has been changed to the new one.
- Your contact information is changed.
- Your office address has been changed.
- Your company logo has been changed.
Change signature format in Outlook
Some people change their Outlook signature as they like but it should not be like this. All employees of a company must use the same format signature. It is like a branding of a company. It should be prohibited strictly. If everyone tried to create a signature format on his own it lower the company’s brand value.
Make two Signature Template
Many people use a single signature template for both new email messages and replies/forward messages. But in my opinion, it is totally wrong concept. You should not use same template for both.
When you are writing a new email message you can select your full signature but when you are replying you do not need to have a full signature. The person you are replying is already known to you he knows your identity very well. For them, you can have a short signature probably only with name and designation.

Prepare two signature templates and select them as the default signatures shown above. You do not need to select every time you write new emails or replying any email.
