How to select multiple emails in Outlook?

If you are using Microsoft Outlook as an email client you may need to select multiple emails. But many of us do not know how to select multiple emails in Outlook. In this article, I will guide you on how to select multiple emails in Outlook.

There are a total of five types of products in Microsoft Outlook.

  • Microsoft Outlook for Windows Desktop.
  • Microsoft Outlook for Mac PC.
  • Microsoft Outlook for Android mobile phones.
  • Microsoft Outlook for iPhone.
  • Outlook webmail service.

I will try to cover all five products in this article.

Why may you need to select multiple emails?

That is the first question, why do you need to select multiple emails? I took some time to think about this. And the result I got from my mind is the followings:

How to select multiple emails in Outlook?

Outlook Windows desktop application

The general method of selecting multiple emails in Outlook.

  • Go to your inbox.
  • Press and hold the Ctrl + A button on the keyboard.
  • All emails in the inbox will be selected.

If you want to select multiple emails in a different location in the inbox

  • Go to your inbox.
  • Press and hold the Ctrl button on the keyboard.
  • Click the messages that you want to select.

If you want to Select a set of email messages together with a single click.

  • Go to your inbox.
  • Press and hold the Shift button on the keyboard.
  • Select the first and last email with the help of your mouse.
  • All the email messages in between two clicks will be selected.

You can add the Select All command button in the Ribbon or in the Quick Access Toolbar. To customize the ribbon or Quick Access Toolbar please follow the below instructions.

How to add the Select All button in the Ribbon

  • Right-click over the Ribbon.
  • Select Customize the Ribbon.
  • Choose All commands from the left drop-down menu.
  • Add a new group or new tab for your new command placeholder.
  • You can rename the tab name, or group name if you want.
  • Select Select All and click Add to add this command in Ribbon.

Remember: You cannot add any new command to the existing tab but you can add new groups to the existing tab. You can add a new tab where you can add any new command.

After customizing the Ribbon, the Select All button is added to Ribbon. Please see the screenshot below.

How to add the Select All button in the Quick Access Toolbar

  • Right-click over the Quick Access Toolbar.
  • Select Customize the Quick Access Toolbar.
  • Choose All commands from the left drop-down menu.
  • Select Select All and click Add to add this command in the Quick Access Toolbar.

After customizing my Quick Access Toolbar, the Select All button is added to my Quick Access Toolbar. Please see the screenshot below.

Outlook Android application

If you are an android phone user you also may need to select multiple emails in Outlook. To perform the task follow the below instructions.

  • Open the Outlook application on your android mobile phone.
  • Tap and hold the first email to select. A tick mark will appear on the left.
  • Tap another email to select. You will see a tick mark on the left.
  • You can tap and select as many as you want in the inbox.

Microsoft Outlook for Mac PC

The general method of selecting multiple emails in Outlook.

  • Go to your inbox.
  • Press and hold the Command + A button on the keyboard.
  • All emails in the inbox will be selected.

If you want to select multiple emails in a different location in the inbox

  • Go to your inbox.
  • Press and hold the Command button on the keyboard.
  • Click the messages that you want to select.

Outlook iPhone application

  • Open the Outlook application on your iPhone.
  • Tap and hold the first email to select.
  • Tap another email to select.
  • You can tap and select as many as you want in the inbox.
